Description:

The CSHCD Department's meeting minutes are detailed and lengthy, requiring significant staff preparation time. Important information is not easily located.


Significance:

Revising the department's meeting minutes format would significantly reduce staff preparation time by only listing key points, objectives, decisions, and action items, and would make them more reader friendly.

Description:

The CSHCD Department would like to create a training video for new providers' staff to reduce in-person training time and allow timely training.


Significance:

A training video would allow new providers' staff to be trained immediately upon hire and reduce CSHCD staff time.

Description:

The CSHCD contracts database is outdated, has limited data entry ability, and is unable to be accessed by all four divisions' staff. Revising the database would make it more user friendly, allow additional staff access, and enhance tracking of providers' contracts to include policies, audits, deliverables, and state licensures.


Significance:

The CSHCD contracts database revisions will allow additional staff to process information in the system at the same time, update status of contracts, and add tracking information for providers, to include policies, audits, deliverables, and state licensures.

Description:

Many of the CSHCD Department's contracts include between 2 and 7 contracts for each provider. This requires significant staff preparation and review time and resources. It also can create confusion at the provider level when performing multiple amendments throughout the year.


Significance:

Combining and reducing CSHCD provider contracts to 1 or 2 each would significantly reduce staff preparation and review time and resources, reduce the number of amendments, reduce provider confusion, as well as provider's time and resources.

Description:

The CSHCD Department's contract definitions were previously printed for over 200 contracts per year and mailed to the providers, requiring significant paper and staff resources.


Significance:

The CSHCD Department will now load contract definitions on CDs. This will save significant time, postage, and staff resources.

Description:

The CSHCD Department is now holding monthly contracts meetings with staff to increase efficient communication and reduce confusion.


Significance:

Holding monthly contract meetings with program specialists, program managers, fiscal staff, and leadership will address issues, effectively communicate updates, and create improvements and efficiencies.
