Description:

Many employees have been added to the CSHCD Department to accommodate a shift in how mental health and substance use disorder services are purchased and administered. The CSHCD Department needs to make changes to our training procedures to remove duplicative efforts for trainers, empower others to provide training in the absence of regular trainers, and keep our message and guidelines consistent and thorough for new hires.


Significance:

The CSHCD Department has grown exponentially to accommodate a state-mandated shift in how mental health and substance use disorder services are purchased and administered. As such, there has been a large increase in CSHCD staff time to hire, train, and track documented changes required by this massive transition.

Description:

A growing staff and changing requirements that have come as a result of state-mandated changes to how mental health and substance use disorder services are purchased and administered has led to a need for a formalized, written procedure on how administrative staff is to perform a multitude of procedures.


Significance:

The creation of the Procedures Manual will reduce wait times for leadership who require administrative assistance by removing duplicative efforts and creating consistency in our procedures. This project has been delayed past its original goal, as the person who was responsible for updating it is no longer a County employee. The CSHCD Department is working to shift the project once a replacement is hired.

Description:

The CSHCD Department has seen an increase in paperwork as a result in state-mandated changes to how mental health and substance use disorder services are purchased and administered. The paper has become overwhelming and we identified a need to streamline and better manage the flow of paper and documentation.


Significance:

Reduce paper waste, free up physical space in the CSHCD offices, and make finding documents more efficient.

Description:

Request for Proposal document form is in need of being updated and standardized across divisions to streamline the process in which it moves through our system.


Significance:

The RFP was identified by leadership as being an important document that is regularly used by the CSHCD department, but which is not properly standardized, and can therefore occasionally create duplicative efforts by staff to complete and route. The CSHCD Department created a goal to work toward updating this over the course of several months, as-staff is available to do so outside of their normal tasks. This was identified as a Key Performance Indicator, as improving it will equate to an improvement in processes and efficiencies by removing wasteful activities.

Description:

Many meetings take place amongst the CSHCD divisions. A standardized Meeting Agenda Form will help streamline the meeting process and follow-up to ensure that all parties involved in meetings are aligned in what is being covered and what action-items are required.


Significance:

The Meeting Agenda Form was identified by leadership as being an important document that is regularly used by the department, but which is not properly standardized, and can therefore occasionally create confusion or duplicative efforts by staff. The CSHCD Department created a goal to work toward updating this over the course of several months, as-staff is available to do so outside of their normal tasks. This was identified as a Key Performance Indicator, as improving it will equate to an improvement in processes and efficiencies by removing any confusion pre and post meeting.
